eDMS Transformation Consultant

Contract: 12 months (subject to extension).

Location: Amsterdam, Netherlands.

Salary: Not a constraint for the right candidate!

Your Profile & DNA:

We are looking for an experienced eDMS Transformation Consultant to lead and drive the successful implementation and transformation of the Enterprise Document Management System (eDMS). Although the role is part of a broader project team, the successful candidate will act as a key individual contributor, capable of independently guiding the end-to-end eDMS transformation program.

Roles & Responsibilities

• Lead the end-to-end eDMS transformation program and provide functional leadership throughout the implementation lifecycle.
• Design and establish enterprise document management processes aligned with project and business requirements.
• Define document register structures, metadata standards, document numbering conventions, and Master Document Register (MDR) requirements.
• Design and manage document lifecycle processes, including: Placeholder creation, Document upload, Review and approval workflows, Publishing, Archiving
• Configure and optimize workflows for: Technical Queries (TQ), Interface Queries (IQ), Document review and approval, Controlled document distribution
• Manage interface documents and controlled document exchange between internal and external organizations.
• Establish governance for: Non-Conformance (NCR) processes, Technical Queries, Project correspondence management
• Define and maintain document versioning, revision control, and audit compliance processes.
• Establish confidentiality rules and information access controls across multiple organizations and stakeholders.
• Develop and implement bulk document upload strategies while ensuring metadata quality, validation, and consistency.
• Apply ISO 19650 and Common Data Environment (CDE) principles across document, interface, and query management.
• Collaborate with project teams, engineering, contractors, vendors, and business stakeholders to ensure successful adoption of document management standards.
• Support user training, process improvement, governance, and post-implementation stabilization.

Qualification & Experience

• A Bachelor's or Master's Degree or equivalent.
• Strong experience with eDMS implementation and transformation programs
• Expertise in document management for large engineering, utility, or infrastructure projects
• Experience defining Document Registers, MDR structures, metadata standards, and numbering conventions
• Strong understanding of document lifecycle management, review, approval, versioning, and archiving processes
• Experience designing workflows for Technical Queries, Interface Queries, and document review processes
• Knowledge of ISO 19650 and Common Data Environment (CDE) principles
• Experience with eDMS platforms such as Aconex and Autodesk Construction Cloud (ACC)
• Strong understanding of confidentiality rules, audit requirements, and controlled document exchange
