Minimum Qualifications:
Masters in Finance/ MBA Finance/ CA
● English: Native/Fluent level
● Japanese: N2 or N3
Role Objective
The Accounts Payable Specialist is responsible for the precise and timely processing of vendor invoices, employee reimbursements, and school-wide expenditures. You will ensure compliance with Japanese tax laws, school financial policies, and global reporting standards while maintaining healthy relationships with local and international vendors.
Key Responsibilities
1. Invoice Processing & Payments
● Review, verify, and process all vendor invoices and payment requests.
● Match invoices to purchase orders (POs) and delivery notes (Three-way matching).
● Ensure accurate coding of expenses to the correct cost centers (e.g., Academic, Facilities, Admin).
● Prepare and execute weekly/monthly payment runs via bank transfers (Furikomi).
2. Compliance & Tax (Japan Focus)
● Ensure all invoices meet Japanese Qualified Invoice System requirements (for Consumption Tax/JCT).
● Maintain accurate records for annual audits and local tax filings.
● Manage employee expense claims, ensuring they align with the school’s travel and expense policy.
3. Vendor Management
● Act as the primary point of contact for vendor inquiries regarding payment status.
● Reconcile monthly vendor statements and investigate any discrepancies.
● Onboard new vendors and maintain updated banking information in the accounting system.
4. Financial Reporting & Month-End
● Assist in month-end closing by ensuring all liabilities are recorded (Accruals).
● Prepare AP aging reports for management review.
● Liaise with the central Global Schools Group (GSG) finance team for consolidated reporting if required.
Required Skills & Qualifications
● Education: Bachelor’s degree in Accounting, Finance, or Business Administration.
● Experience: 2–5 years of experience in Accounts Payable or General Accounting, ideally within an international school or a multinational corporation (MNC).
● Language Skills:
○ English: Business level (for internal communication with the GIIS global network).
○ Japanese: Business level
