ABOUT THE ROLE

The Transparency International Secretariat is currently seeking a People Associate (m/f/d) to join the People & Culture Team.

The People Associate plays a key role in ensuring the efficient delivery of People & Culture operations and services across the Secretariat. The role provides employee-facing support, coordinates payroll administration, maintains HR data and records, manages employee benefit processes, and supports immigration and employment administration. The position acts as a central point of contact for employees and collaborates closely with People Business Partners, Finance, external service providers, and public authorities.



OVERVIEW OF KEY DIMENSIONS

Role purpose: To provide high-quality HR operational and administrative support across the employee lifecycle, ensuring accurate payroll administration, employee documentation management, benefits administration, HR systems maintenance, and employee support services.

Team: People & Culture

Reporting line: Head of People & Culture

Salary band: According to TI‑S internal salary structure; this position is aligned with band PF1, with a salary range of EUR 35.175–49.035 gross per year. Final salary placement will be determined based on the number of years of relevant professional experience. 

Starting date: ASAP

Contract duration: We are currently able to offer a fixed-term contract for a period of two years. The aim is to offer permanent employment in a stable and long-term working relationship.

Working hours: full time [100%; 40 hours per week] / Part time on request

Location: Berlin, Germany / Hybrid

 



MAIN ACCOUNTABILITIES OF THE ROLE

The People Associate will:

  • Manage the central HR inbox, responding to employee questions and requests and ensuring a high level of service and timely follow-up
  • Prepare and manage employee documentation, including employment certificates, parental leave confirmations, reference letters, and other HR correspondence
  • Maintain accurate and up-to-date employee records in the HR information system (HRIS) and personnel files, ensuring data quality, completeness, and compliance with record-keeping requirements
  • Coordinate the monthly payroll administration process and ensure timely submission of payroll information to external payroll providers
  • Administer employee benefit schemes, including meal voucher programs and corporate sports memberships
  • Provide administrative coordination and document management support related to visa, residence permit, and work authorization processes, liaising with employees, authorities, and external stakeholders as required
  • Collaborate closely with People Business Partners, Finance colleagues, external advisors, and relevant public institutions
  • Contribute to process improvements, documentation, and standardization of HR administrative procedures
  • Support additional operational People & Culture priorities and projects as required.


CANDIDATE PROFILE

Experience & Qualifications:

  • At least 2 years of professional experience in HR administration, HR operations, or a comparable role
  • Relevant academic qualification, professional certification, or vocational training in Human Resources, Business Administration, or a related field, or equivalent professional experience in HR operations and administration
  • Experience working with HR information systems and employee data management
  • Experience supporting payroll administration and benefits processes
  • Experience working in an international, multicultural, and mission-driven environment is an advantage
  • Knowledge of German employment administration practices is desirable

Skills & Competencies:

  • Strong organizational skills and ability to manage multiple priorities and deadlines
  • Excellent interpersonal and customer-service-oriented communication skills
  • High level of accuracy and attention to detail
  • Fluent German and English skills, both speaking and written
  • Ability to work independently while maintaining close collaboration with colleagues and stakeholders
  • Ability to handle sensitive and confidential information with discretion
  • Proficiency with Microsoft Office applications, particularly Excel
