Recruiting Operations Coordinator
— Remote- Bachelor's degree earned at a US college or university
- Native or near-native American English fluency: written and spoken. You will be communicating on behalf of a US executive recruiting team with senior professionals. Accent and register matter. Based in Latin America and available for a minimum 6-hour overlap with US Eastern Time
- 3 plus years of professional experience in a coordinator, operations, administrative, or communications role
- Demonstrated ability to exercise judgment: you have been in situations where the instructions were unclear and you figured it out, flagged the issue, and did not guess wrong
- Proficiency with CRM tools, Google Workspace, and scheduling platforms
- Reliable high-speed internet and a professional remote work setup
- Manage inbound responses from executive outreach campaigns: triage, respond using approved templates, route qualified leads to the right talent specialist
- Execute field trials: research target executives against defined criteria, evaluate fit, and document findings in our CRM (Copper)
- Qualify candidates: review executive applications, score against established criteria, and escalate strong candidates for interviews
- Own CRM communications: maintain contact records, log all activity, send follow-up sequences, and keep the pipeline clean and current
- Coordinate scheduling: manage calendar logistics between senior executives and our talent specialists across US time zones
- Supervise overnight task execution: hand off specific outreach tasks to our offshore team, monitor completion, and QA outputs each morning
- Produce a daily status report to the operations lead: pipeline counts, responses received, meetings scheduled, and any blockers
- Identify gaps and flag issues: if something looks wrong, sounds off, or does not match expectations, you stop and say so
This is a coordination and operations role that sits at the center of our recruiting engine.
You will be the judgment layer between our systematic outreach operation and our senior talent specialists, who conduct executive interviews with C-suite leaders across North America.
Our talent specialists spend their time doing one thing: having high-caliber conversations with senior executives ($50M+ P&L owners, former CEOs, PE-backed operators). Your job is to make sure their calendars stay full with qualified, prepared, confirmed meetings, and that nothing falls through the cracks in between.
