The Approval Project Support role is a fixed-term position designed to support ongoing approval-related operations during a period of organizational focus on new project initiatives.


What you’ll do


Principal Mission

  • Helps ensure that existing publishing and licensing projects continue to progress smoothly and in compliance with contractual and quality requirements.
  • Create an enabling environment that supports the fulfillment of contractual obligations related to product quality and material usage between rights holders and licensees, ensuring that ongoing projects proceed smoothly without disruption.


Key Responsibilities


Approval Process & Coordination Support

  • Support Approval and Licensing teams to ensure licensed works are published in accordance with company standards and rights holders’ guidelines for both print and digital editions
  • Assist in coordinating design approval processes for local edition book covers and related marketing materials
  • Support approval workflows to ensure licensed works can be printed and published according to licensees’ schedules


Quality & File Management Support

  • Assist in checking the quality of finished print books for local editions and flag any issues to relevant teams
  • Support quality control of e-pub files submitted by local publishers prior to online delivery
  • Archive final approved design files for books and promotional materials in designated systems and folders


Tracking, Documentation & Inventory Support

  • Ensure required information is accurately recorded in tracking lists and internal documentation
  • Support inventory control of Japanese sample books and magazines for internal use, including placing orders for newly published titles as needed


Shipping & Material Handling Support

  • Support relevant teams to ensure smooth shipping and delivery of data, working copies, and materials to licensees
  • Assist in the preparation of regular shipments of print book samples provided by local publishers to rights holders


Team Support & Operational Continuity

  • Provide hands-on operational support to help maintain continuity of ongoing approval projects
  • Follow established processes and guidelines to ensure consistency and reliability
  • Communicate proactively with team members to clarify priorities and support smooth handovers


Requirements


  • Languages: Japanese (C1), English (B2 – Upper Intermediate)
  • A minimum of 1 year of relevant professional experience is required for this role (internships not counted)
  • Strong attention to detail and quality awareness
  • Ability to follow established processes and handle repetitive tasks accurately
  • Clear communication skills and a cooperative team mindset
  • Ability to manage multiple tasks and priorities with guidance
  • Reliability, consistency, and a strong sense of responsibility
  • Comfort working with basic office software and digital file management tools

  • This role is designed to support operational continuity during a defined transition period and does not require full ownership of projects or long-term strategic responsibility.
