Working in Australia

Possible country route: Skills in Demand (subclass 482). The employer-sponsored Skills in Demand route has stream, nomination, occupation and applicant requirements. It replaced the earlier TSS route for new applications.

Processing differs by stream and application circumstances. Check the current Home Affairs processing-time tool; employer nomination adds its own steps.

What to check before applying
  1. Confirm the sponsor and stream. Ask which 482 stream and occupation the employer intends to nominate.
  2. Check current requirements. Review qualifications, English, salary and any skills assessment on Home Affairs.
  3. Coordinate nomination and application. Keep the employer nomination and applicant visa steps distinct.

Hollywood Private Hospital is seeking an organised and experienced Health Information Services (HIS) Clerical Supervisor to lead and support the daily operations of our Health Information Services team on a full-time basis.

In this role, you will oversee clerical activities relating to health information management, ensuring medical records and patient information are processed, maintained and accessed accurately and efficiently. You will provide guidance to team members, coordinate workflows and support the delivery of high-quality administrative services in a busy hospital environment.

This is an opportunity to contribute to the effective management of health information while promoting accuracy, confidentiality and a strong team culture.

About You

You are a proactive and detail-oriented professional with a background in Health Information Services, medical records or healthcare administration. You understand the importance of accurate and secure health information management and have sound knowledge of patient privacy, confidentiality and relevant record management procedures.

You are confident using patient administration systems, document management platforms and scanning systems, with an understanding of the processes involved in preparing, scanning, indexing and quality-checking medical records. You bring a practical approach to problem-solving, strong communication skills and the ability to build positive working relationships across clinical and administrative teams.

You also understand the importance of quality assurance, compliance and continuous improvement, including the application of relevant standards such as the National Safety and Quality Health Service (NSQHS) Standards.

Key Responsibilities

  • Supervise and coordinate the daily clerical operations of the Health Information Services team, allocating workloads and monitoring progress to meet operational targets.
  • Oversee the maintenance, tracking, retrieval, scanning, indexing, quality checking and filing of patient medical records.
  • Ensure health information is accurate, complete, secure and confidential, in accordance with privacy requirements, legislation and Ramsay policies.
  • Provide day-to-day leadership, training and support to staff, including coordinating orientation, competency assessments and mandatory training.
  • Monitor staff performance, KPIs, workloads and productivity, and manage staffing hours and labour costs against departmental targets.
  • Respond to requests for health information from authorised internal and external stakeholders and liaise with clinical and administrative departments to support efficient service delivery.
  • Coordinate health record audits and support hospital accreditation requirements, including compliance with relevant quality standards.
  • Maintain appropriate access permissions within the Patient Administration System and report any suspected unauthorised access.
  • Review clerical procedures, identify opportunities for improvement and help resolve operational issues to support efficient workflows and high-quality service delivery.

What You Will Also Bring

  • Previous supervisory or team coordination experience, with the ability to guide staff, manage competing priorities and support a positive team culture.
  • Strong organisational and problem-solving skills, with excellent attention to detail and the ability to meet deadlines.
  • Excellent communication and interpersonal skills, with a collaborative approach to working with a range of stakeholders.
  • Confidence using computer systems, databases and Microsoft Office applications.
  • A commitment to maintaining professional standards and complying with relevant legislation, policies and procedures.
  • A qualification in Health Administration, Health Information Management or a related discipline would be desirable.
  • Experience in a large private healthcare environment would be desirable.
