Description (EN)
Short Description
Senior Officer – Coordinator to support our sales team. In this role, you will coordinate the end-to-end sales process—from order intake and documentation to delivery scheduling and after-sales follow-up—while acting as a key link between sales executives, fleet customers, logistics, and finance. The ideal candidate brings commercial vehicle industry knowledge, strong administrative discipline, and the ability to manage multiple deals simultaneously in a fast-paced environment.
Key Responsibilities
- Sales Order Coordination: Process and track sales orders for commercial vehicles (trucks, buses, vans, and fleet units), ensuring accuracy of specifications, pricing, and delivery terms.
- Documentation & Compliance: Prepare and maintain sales contracts, quotations, invoices, and registration/export documentation in line with company policy and local regulations.
- Delivery Scheduling: Coordinate vehicle preparation, PDI (pre-delivery inspection), and delivery timelines with the workshop, logistics, and customers to ensure on-time handover.
- Customer & Fleet Support: Serve as a point of contact for fleet and corporate clients, responding to inquiries, providing order status updates, and resolving coordination issues.
- Sales Team Support: Assist sales executives with quotations, tender submissions, pipeline reports, and CRM data entry and maintenance.
- Inventory & Allocation: Monitor vehicle stock levels and allocations, liaising with the parts and logistics teams to align availability with confirmed orders.
- Finance Coordination: Liaise with the finance and accounting teams on payment collection, credit approvals, and reconciliation of sales transactions.
- Reporting: Prepare regular sales reports, forecasts, and performance dashboards for management review.
- After-Sales Handover: Coordinate with the after-sales/service team to ensure smooth transition of delivered vehicles for warranty, service schedules, and customer onboarding.
- Process Improvement: Identify bottlenecks in the sales coordination workflow and recommend improvements to enhance efficiency and customer satisfaction.
Qualifications
- Education: Bachelor’s degree in Business Administration, Sales & Marketing, Logistics, or a related field.
- Experience: Minimum 3–5 years of experience in sales coordination or sales support, preferably within the automotive industry—commercial vehicles experience is highly preferred.
- Technical Skills:
- Proficiency in CRM systems and ERP software (e.g., SAP, Oracle, Salesforce).
- Strong command of MS Office, particularly Excel (reporting, tracking, and analysis).
- Familiarity with commercial vehicle specifications, registration processes, and fleet sales documentation.
- Soft Skills:
- Excellent organizational and multitasking abilities with strong attention to detail.
- Strong communication and interpersonal skills for cross-functional coordination.
- Ability to work under pressure and meet tight delivery deadlines.
- Customer-centric mindset with a problem-solving approach.
- Other Requirements:
- Valid driver’s license.
- Fluency in English (additional languages relevant to the market are an advantage).
- Willingness to work extended hours during peak sales periods or month-end closings.
